Reason code C02: Credit Not Processed
The cardmember says they were promised a credit that never appeared on their statement. C02 typically follows a return, cancellation, or service adjustment where the merchant issued a credit slip or verbal promise but the refund was never actually processed, or was processed too slowly.
Issuer filing window
typically 120 days from the date the credit was expected
Merchant response window
typically 20 days to respond
Why C02 chargebacks happen
- A return was accepted at the counter or warehouse but the refund transaction was never keyed.
- Refunds are batched weekly or monthly, and the cardmember disputed before the credit posted.
- The refund went to a different card or payment method than the one originally charged.
- A cancellation was confirmed by support, but the order had already billed and nobody reversed it.
- Store credit or a gift card was issued when the customer expected money back on their Amex.
How to fight a C02 chargeback
- If the credit was processed, submit the refund transaction record with its date, amount, and the card it went to.
- Show that the credit posted before the chargeback, in which case the dispute is moot and should be reversed.
- If no credit was owed, provide the signed policy the customer agreed to (final sale, restocking terms, store-credit-only) as displayed at purchase.
- Document that the returned goods were never received back, if your policy conditions refunds on receipt of the return.
How to prevent C02 chargebacks
- Process refunds within a day or two of approving them, since dispute-happy cardmembers will not wait a billing cycle.
- Always refund to the original Amex card, and tell the customer the expected posting timeframe in writing.
- Disclose no-refund and store-credit policies conspicuously at checkout and on the receipt, not buried in terms.
- Reconcile RMA approvals against issued refunds weekly so accepted returns cannot fall through the cracks.
Frequently asked questions
- The refund already posted, so why did I still get a C02?
- The dispute and the credit probably crossed in transit. Respond with the refund record and posting date, and Amex will typically resolve the case since the cardmember has been made whole.
- Can Amex force a refund if my policy says store credit only?
- If you can prove the customer was clearly shown and agreed to a store-credit-only policy before purchase, you have a defensible position. Undisclosed or hidden policies will not hold up.
